Account & Profile
Creating an account
To join myBoardHub, open the registration page and choose your role — Tenant (student), Parent/Guardian, or Boarding House Owner. You'll verify your email before your account is active. Owners also set up a payment sub-account so they can receive payments.
Verifying your email
After registering, we email you a verification link. Click it to activate your account. If it didn't arrive, check spam, then use the resend option on the verification screen. Your account stays limited until the email is verified.
Resetting your password
Use the "Forgot password" link on the login page. We email a reset link that's valid for a limited time. Open it and set a new password. If you're already signed in, you can change your password from Settings.
Verifying your student ID
Before a lease can be issued, the owner checks your student ID against that reservation. Upload it when your reservation asks for it, and the owner reviews it and marks it verified. This happens per reservation — if you reserve at another property you'll be asked again, because each owner reviews the ID for their own booking.
Finding Rooms
Searching for boarding houses
Open Browse Rooms to search listings. You can filter by city, price, room type, gender policy, and distance from a university, and sort by rating. Listings marked verified have had their documents reviewed by myBoardHub.
What "verified" means
A verified badge means the owner submitted property and identity documents that myBoardHub reviewed. It's a trust signal, not a guarantee — always follow the safety guidelines when visiting or paying.
Reserving a room
Open a room listing and tap Reserve. You'll confirm the details and pay the reservation amount to hold the room. Payment uses a secure checkout — GCash, Maya, or card. Reservations have a 1-hour payment window; if it isn't paid in time the hold is released automatically.

What happens after you reserve
Reserving is a few steps, not one. You pay to hold the room, the owner then has 48 hours to confirm or decline, you upload your student ID for that reservation, and finally both you and the owner e-sign the lease. Your reservations page shows which step you're on. The room is only really yours once the lease is signed by both sides.
If the owner doesn't respond
Owners have 48 hours to confirm or decline a paid reservation. If that passes with no answer, the reservation is declined automatically and your reservation amount is refunded — you don't need to chase it. If the owner confirmed but then went quiet for 7 days without moving things forward, you can cancel it yourself from your reservations page and we'll start a refund.
Signing your lease
Once your ID is verified the owner issues the contract, which combines the lease and the house rules in one document. Both you and the owner must e-sign it — the lease becomes active only when both signatures are in. You can draw a signature or upload a transparent PNG, and you can save one to your profile to reuse. Signing also gives up any other rooms you're still holding, and you'll be shown exactly which ones before you confirm.
Moving out and your deposit
Near the end of your lease you'll be asked whether you're renewing. If you're moving out, give notice from your lease page — once the owner lists your room for the next tenant, that notice can't be withdrawn. After you move out the owner runs a move-out inspection, and any agreed deductions come off your security deposit. The owner returns the remaining deposit to you directly and records the reference — it isn't paid out through myBoardHub.
Payments & Billing
Accepted payment methods
Payments go through our secure provider (Xendit). You can pay with GCash, Maya, or a credit/debit card. myBoardHub never sees or stores your full card number.
Paying your monthly rent
Open Payments from your dashboard to pay rent due. Select the bill, choose GCash, Maya, or card, and complete the secure checkout. A receipt is issued automatically once payment clears.
How refunds work
Refund eligibility depends on when you cancel and the stage of the reservation. The Refund Policy page explains the cancellation windows and amounts. Approved refunds are returned to your original payment method.
A payment failed
If a payment fails, no hold is placed and you can retry from the same screen. If you were charged but the reservation didn't confirm, wait a few minutes for it to reconcile, then check your reservations. If it still looks wrong, contact support with the date and amount.
What you pay when you reserve
Reserving charges two separate things: the reservation amount, which goes to the owner and is held until your lease is signed, and a service fee that covers payment processing. If a reservation is cancelled or declined, the reservation amount is refunded according to the Refund Policy — the service fee isn't, because the processing cost has already been spent. Your checkout screen shows both lines before you pay.
Automatic rent payments
You can turn on automatic rent payments from Payments and save a reusable payment method. We notify you before each charge, and if a charge doesn't go through you can still pay manually from the same screen. Not every payment method can be saved for automatic charges — if yours can't, the option won't appear. You can turn it off at any time.
Communication
Community discussion channels
Channels are city-based discussion spaces where students and owners can ask questions and share tips. Open Community Channels and pick your city to join the conversation.
Reporting inappropriate content
Use the report option on any message, listing, or profile to flag it for review. For urgent safety concerns, also contact support directly.
For Owners
Listing a room as an owner
First add your boarding house under Manage Boarding Houses, then add rooms under Manage Rooms — set the room type, price, capacity, and photos. Submitting property documents lets your listing earn a verified badge.
Managing tenants
Open Tenant Management to review reservation requests, approve or decline applicants, and manage active leases. New reservation requests also appear under Reservations.
Receiving payments and receipts
Tenant payments flow to your payment sub-account through our provider, and a digital receipt is issued automatically. Track incoming payments under Payments. Make sure your payment details are set up during registration so payouts aren't held.
Posting announcements to tenants
Use Announcements to broadcast a message to all tenants of a boarding house — useful for maintenance notices, payment reminders, or house rules updates.
Responding to a reservation request
When a tenant pays to reserve one of your rooms, you have 48 hours to confirm or decline it from Reservations. If you don't respond in time the reservation is declined automatically and the tenant is refunded, so it pays to act early. After confirming, verify the tenant's student ID and issue the contract — the reservation amount is released to you only once both sides have signed the lease.
For Parents & Guardians
Linking to your student
As a parent/guardian, your account reads your linked student's lease, payments, and announcements. The student grants access from their Parent Access screen; once linked, you'll see their information under your dashboard.
